ROLE SUMMARY The Donor Advised Funds (DAF) Gifts Associate is responsible for assisting with gifts management-related activity for a portfolio of donor-advised funds: donor-directed charitable giving vehicles established by clients the Federation serves as part of its philanthropy advisory practice.
The Donor Advised Funds (DAF) program contains over 1,100 funds through which approximately 400 gift contributions are received each year.
As part of the philanthropy operations team, the DAF program is a growing practice, and the person in this position can anticipate professional development opportunities for growth within the organization over time.
The DAF Gifts Associate will also support the DAF Team and other Federation colleagues to meet donor and prospective donor needs, assisting with key projects in the development of the philanthropy advisory practice, including fund administration and providing backup support for DAF grants management, and beyond.
Other projects may include assisting with the new donor portal, the continuing refinement of Salesforce-based systems, and the eventual transition to a new financial accounting and electronic payment system.
ESSENTIAL FUCTIONS From the months of May through July 2024, the initial tasks for this position will involve covering for a DAF Grants Associate who will be away on leave.
These responsibilities will include conducting basic grant due diligence, printing award letters, and preparing grant checks for mailing while beginning training on gifts management responsibilities.
From August 2024 onwards, the Gifts Associate will transition to full-time gifts management duties, while continuing to provide back-up support, when required, for the DAF Grants Management Team.
Assists the DAF Gifts Manager with gifts intake process, collaborating with the Accounting Team to identify, track and ensure incoming DAF gifts are accurately and consistently captured, entered and posted in Salesforce, the fund accounting system (currently FIMS), and the Federation’s new donor portal.
Provides backup support to the Gifts Manager in reviewing and approving DAF gift contributions for entry into Salesforce.
Assists with fund administration responsibilities as needed, in addition to creating new donor profiles in the fund accounting system and Salesforce based gifts management system.
Helps to track gifts in the new fund accounting system and in Salesforce; analyzes fund activity to continually improve client services; documents interactions with donors, financial advisors, and other third-party constituents for record-keeping purposes.
Responds to inquiries concerning prior, recent, and future contributions.
With assistance from the Accounting team, ensures that all donor-advised fund gift contributions are consistent and accurate, while monitoring the continual flow of data from the Salesforce gifts management and fund accounting systems to the donor portal.
Assists with the electronic gift acknowledgement process for donors in the Salesforce gifts management system and in hard copy format by printing & mailing letters.
Notifies fund holders of third-party contributions to their DAFs, which may include tracking, reporting, and preparing acknowledgements for memorial fund gifts.
Maintains and assembles contents of the Welcome Packets for mailing to new fund holders.
Assists with monitoring and processing interfund transfers (IFT) and gifts in fund accounting system and/or CRM.
Works with DAF Gifts Manager to identify and troubleshoot gift contribution inaccuracies to ensure all gift contributions follow a successful path from identification to acquisition to final application to a donor-advised fund.
Assists DAF Team colleagues with reporting on DAF grantmaking to the Federation Board of Trustees for review and approval; provides support to donors with the new portal as needed; assists Philanthropy Team colleagues with the continuing development and improvement of the new donor portal, as well as the gifts management system in Salesforce.
Requirements QUALIFICATIONS (KNOWLEDGE, SKILLS, ABILITIES) Must be extremely detail-oriented with exceptional organizational skills Knowledge of and appreciation for the Jewish community, its customs and practices Proven ability to work cooperatively across departments to focus on delivering excellence Strong interpersonal skills and a collaborative team approach Excellent written and verbal communication skills Must have a positive attitude with ability to be self-sufficient Demonstrated ability to establish and meet objectives and performance standards Ability/comfort level to work with a broad cross-section of individuals from the community Proficiency in MS Office Suite This is a hybrid position that requires presence in the San Francisco Federation office two days a week as well as a consistent presence from late November through mid-January EDUCATION AND EXPERIENCE 1-3 years of direct client service experience in any multi-faceted, complex environment Bachelor’s degree or equivalent work experience Experience working with high-net worth clients preferred Experience with donor-advised funds, gifts and/or grants management in a fast-paced, high-volume nonprofit or philanthropic institution is preferred Experience with Salesforce and/or NetSuite is a plus EMPLOYMENT PRACTICES The Federation views equity, diversity, inclusion, and belonging as the pathway to achieving inclusive excellence and fostering a company culture where everyone can thrive.
