The Head of Communications will work closely with all department heads, committee members, and Board of Directors to execute effective and timely communication to membership via multiple communication channels.
This role reports directly to the General Manager.
Full Time $70,000 - $80,000 a year
*Responsibilities*
* Develop/design, maintain and refresh the website and app content.
Manage day-to-day website operations and any third-party links to OCC’s site for reservations, registrations and professional organizations.
* Assist managers in developing editorial content for surveys, club event promotions, and e- blasts through current software.
* Design and produce the Club’s weekly Orindan newsletter.
Relate timeframes to authors and regular contributors to the Weekly and Monthly Orindans to ensure all deadlines for content submission are observed.
* Receive direction from the Activities Committee in design and content parameters and work directly with print group to facilitate pre- and post-production tasks such as reviewing PDF proofs, mailing lists, developing schedules and quotes.
* Maintain Club’s Master Calendar for use by management, Board, Professional staff, and key members.
Maintain recipient lists and permissions per group.
* Design promos and e-blast for events, manage content and develop schedule for blasts.
* Provide specs for quotes, paper and color selections, and develop delivery timeframes with print vendors.
* Design, produce and organize in-house production of multiple Members and Mens/Women’s Sports Directories/Rosters/Brochures.
* Upload PDF documents of each piece to website, updating online versions of the Directory and Rosters throughout the year.
Ensure all communications are error free.
* Troubleshoot Staff and Members emailing’s / website-app access problems and assist in a timely and professional manner.
* Actively take quality photographs for all important events.
*Yearly*: Update of the Membership Directory.
Attend and participate in Club Calendar meeting.
*Monthly*: Coordinate the Orindan magazine in print, eblast and online.
Post new Members and employees on the website.
Post new Members to employee bulletin board.
Create promotional flyers for events including eblasts, webpage, and Orindan.
Update menu for F&B.
Update staff onboarding with website picture, business card.
Attend the House Committee meeting.
*Weekly*: Produce weekly Orindan for Sunday delivery.
Update course availability online.
Update event eblasts.
Take pictures for Orinda, website, and weekly.
Coordinate content and troubleshoot website issues with current provider, Club Essential (CE).
*Daily*: Website updates for Club Calendar, images, linked documents and content.
Receive and respond to Member emails for unsubscribe, username/password issues, not receiving emails, app not working, any troubleshooting.
Update Member profiles.
OCC Logo and brand protection- sharing, policing, and proofing new products.
*Qualifications*
* Minimum three years of web and graphic design experience, project management experience and relationship marketing experience in print and interactive environments.
* Ability to implement and monitor branding standards.
Ability to follow and interpret use of style guide to protect Club brand and ensure proper use of logo.
* Intermediate to extensive experience in HTML coding, Creative Suite with pre-production software and Office Suite within Macintosh environment; knowledge of presentation hardware and software.
* Excellent oral and written communication skills (knowledge of AP Style Guide).
Strong organizational and communication skills necessary.
Must be able to work without direction or direct supervision to meet deadlines.
* The ability to produce accurate work, be detail oriented, and have the ability to troubleshoot, multi-task and be flexible.
* Hospitality skills and ability to work with individual members.
