Solano County Transit (SolTrans) has been the public transit provider for south Solano County since July 2011.
SolTrans provides local fixed route, regional transit services and complementary paratransit services.
SolTrans is an independent public agency governed under a JPA with six board members.
As a small agency with 14 employees, SolTrans contracts all transit operations, including maintenance and customer service, to our service partner that employs roughly 100 employees that drive and maintain the fleet of buses owned by SolTrans.
SolTrans also owns and maintains the Vallejo Transit Center and Administrative Offices, the Curtola Park & Ride, the Sereno Transit Center, and an operations and maintenance facility.
SolTrans is seeking a Program Assistant / Deputy Clerk to provide internal support to key administrative programs including accounting and the Clerk of the Board.
This position will report directly to the Transit Board Administrator but will have significant exposure to the Agency leadership including the Board of Directors.
The Position
The Program Assistant / Deputy Clerk at SolTrans performs a variety of administrative and program support duties.
The Program Assistant / Deputy Clerk is an at-will position.
Typical duties include:
Assist with coordination of Board and Committee meetings, notifying the public, making meeting room arrangements, distributing and posting meeting materials in accordance with the CA Brown Act;
Assist with recording actions at Board and Committee meetings, workshops, and preparing minutes;
Assist with responding to requests for information including coordination with staff in the compilation of official records, providing copies of public records within the guidelines provided by the Agency's legal counsel and in accordance with the CA Public Records Act;
Assist the Manager in organizing and administering the filings and communications related to the Fair Political Practices Commission; monitor and review filings to ensure submissions are complete;
Maintain knowledge of changes to the Ralph M.
Brown Act and Public Records Act relevant to Board and Committee support functions through routine training;
May provide scheduling assistance to the Executive Director; schedule and arrange meetings and appointments, make travel arrangements and coordinate invoices, payments and reimbursement forms for management and the Board;
Prepare accounts payable, cash receipts, and other reoccurring accounting tasks for SolTrans’ Accountant;
Perform administrative support functions for the Transit Board Administrator, Accountant and Procurement Program Analyst and/or other areas as assigned;
Perform some official duties of the office of the Board Clerk in their absence.
The Ideal Candidate
The ideal candidate for this position will have a passion for administrative and program support and be a collaborative team member with motivation, curiosity, critical-thinking skills, attention to detail and the ability to work independently and with others.
Proficiency in MS Word and Adobe Pro and working knowledge of MS Excel is highly desired.
Qualifications
Three years of increasingly responsible clerical or office assistant experience and an Associate Degree or additional years of related experience.
