Learn more about the UC Office of the President DEPARTMENT OVERVIEW UC Legal - Office of the General Counsel (UCL) provides legal services to the university, including representation, advice, research and training.
We also provide legal opinions to the Board of Regents, administration, faculty, staff and others acting on the university's behalf.
We report jointly to the Board of Regents and the president.
POSITION SUMMARY Under general supervision, reporting to the Director of Legal Business Operations and Technology, works on operational and / or procedural assignments which are moderately difficult, requiring judgment in resolving procedural issues.
Tasks involve the handling of legal records and confidential information.
Makes recommendations to improve processes and / or procedures.
Responsibilities 40% Manages electronic and physical filing systems, internal processes and procedures.
Performs scanning projects, including quality analysis and control.
Develops best practices and trains UC Legal personnel.
Prepares reports and statistics based on information compiled from various specified sources.
Handles sensitive and confidential information regarding bargaining unit issues.
20% Resolves discrepancies and responds to queries.
Prepares responses to routine correspondence.
15% Manages defensible records retention, recall, and destruction.
10% Applies standard office software programs that include the straightforward application of formulas; display information with both text and graphics.
10% Other duties as assigned.
5% Liaises with vendor(s) and other UCOP departments.
Validates applicable invoices.
Required Qualifications Working knowledge of administrative procedures and processes including word processing, spreadsheet and database applications.
Requires verbal and written communication skills, active listening, critical thinking, multi-tasking and time management skills.
Skill in managing sensitive and confidential information regarding bargaining unit issues.
Preferred Qualifications Minimum of 2 years of administrative work in a legal setting.
Education High school diploma and / or equivalent certification / experience / training required Bachelor's degree preferred SPECIAL CONDITIONS The person hired will be required to reside within California and report to work on-site at UC's Office of the President (UCOP) located in Oakland, CA at least 3 days per week.
SALARY AND BENEFITS Job Title: Admin Assistant Confidential 2 Job Code: 007372 Salary Grade: Grade 17 Payscale: $27.
77 - $31.
85/hour (approximately $58,000 - $66,500 annual), commensurate with experience Full Salary Range: $49,900 - $82,900 The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role.
This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.
It is not typical for an individual to be offered a salary at or near the top of the range for a position.
Salary offers are determined based on final candidate qualifications and experience.
The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
