TITLE: Business Operations Assistant
LOCATION: San Francisco, CA (remote)
JOB TYPE: Part-time, Year-round
POSITION OVERVIEW:
A well-established nonprofit arts organization is seeking a proactive and detail-oriented Business Operations Assistant to join our team on a part-time, year-round basis.
The ideal candidate will possess excellent organizational skills, a strong attention to detail, and the ability to multitask effectively in a fast-paced environment.
This role involves assisting with administrative tasks, managing payroll, processing invoices, coordinating with the accounting team, and assisting with IT.
RESPONSIBILITIES:
Oversee payroll for seasonal employees using the CAPS system, ensuring accuracy and timeliness in processing.
Onboard approximately 500 seasonal employees over 6-8 weeks prior to the annual event.
Process invoices for payment, verify accuracy, and track related expenditures against the approved budget.
Maintain organized records of financial transactions and documentation.
Liaise between departments and the accounting team to reconcile accounts, resolve discrepancies, and ensure compliance with financial policies and procedures.
Provide general support during the planning and execution of projects as needed.
Assist the Executive Director with scheduling meetings and other light administrative tasks.
Assist with special projects and initiatives as assigned by the Executive Director.
QUALIFICATIONS:
Bachelor's degree in Business Administration, Accounting, or related field preferred.
Proven experience in administrative roles.
Familiarity with payroll processing systems, such as CAPS, and proficiency in Google Workspace.
Strong capabilities with Excel and Google Sheets, including use of formulas to pull and manage data.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent communication and interpersonal skills, with a customer service-oriented approach.
High level of attention to detail and accuracy in data entry and record-keeping.
Ability to work independently with minimal supervision as well as collaboratively within a team environment.
Flexibility to adapt to changing priorities and work under pressure to meet deadlines.
Passion for music is a plus.
